Overview
Prepayments are a way to take payments in advance of the period to which the expense relates. Simply put, Prepayments, is how Sage 50 handles deposits. Taking a Prepayment is a great way for Merchant to reduce the risk of not being paid, cover project expenses, ensure consistent cash flow, etc..
Processing a Pre-Payment:
- Navigate to Single Customer
- Note: If you do not see Single Customer along the left, click the hamburger button (☰) in the upper-left corner to extend the Navigation Menu.
- Select the Customer/Job for the invoice you wish to process.
- Alternatively, you can search for the invoice by the Invoice Number by clicking the Search by Number icon (Magnifying Glass in a Box) right of the Customer/Job drop-down box.
- Navigate to Prepayments
- The prepayment section can be reached by selecting the Prepayments tab in the top right, above the second date field.
- Add Payment and Billing Information
- You can switch between Credit Card and eCheck (ACH) with the buttons beneath the Customer/Job drop-down menu.
- You can securely store payment methods for future use by enabling the Save on Vault slider. The information will be saved after clicking Process Sale or Save.
- Billing Information can be populated from Sage 50 by selecting the Auto-Fill AVS from S50 checkbox.
- Additionally, more information can be entered (optional) such as the sales rep, Check/Reference No. Source, Receipt Number, Deposit ticket ID and the Memo/note field.
- Click Process Sale
- Upon success, you should be presented with a Receipt which you can Print, Email, or Close.
- Note: Your account must have the Email Payments add on to Email receipts.
- Upon success, you should be presented with a Receipt which you can Print, Email, or Close.
On this page all unapplied prepayments can be seen. Please note, once a prepayment is applied, they will no longer be visible in this section.
Applying a Prepayment
After a prepayment is taken, eventually it will need to be applied to an invoice. To do this, navigate back to the Invoices tab within Single Customer.
Within this tab, all unapplied prepayments should be visible. To apply the prepayment to an invoice, simply select the desired invoice(s) AND the desired prepayment(s) to apply, then process the sale by clicking Process Sale in the bottom right.
