Overview
Verosa Desktop for QuickBooks offers many ways to receive payment for an invoice. This guide will walk you step-by-step through the process of taking a payment successfully via Credit Card or ACH.
Process Credit Card or ACH Payment
After the invoice is created and saved in QuickBooks, open the Verosa Desktop interface to proceed.
- Navigate to Single Customer
- Note: If you do not see Single Customer along the left, click the hamburger button (☰) in the upper-left corner to extend the Navigation Menu.
- Select the Customer/Job for the invoice you wish to process.
- Alternatively, you can search for the invoice by the Invoice Number by clicking the Search by Number icon (Magnifying Glass in a Box) right of the Customer/Job drop-down box.
- Adjust the Date Range and select the Invoice(s) you wish to take a payment on.
- You can take partial payment by adjusting the Pay Amt. field within the invoice selection table.
- Add Payment and Billing Information
- You can switch between Credit Card and eCheck (ACH) with the buttons beneath the Customer/Job drop-down menu.
- You can securely store payment methods for future use by enabling the Save on Vault slider. The information will be saved after clicking Process Sale or Save.
- Billing Information can be populated from QuickBooks by selecting the Auto-Fill AVS from QB checkbox.
- Click Process Sale
- Upon success, you should be presented with a Receipt which you can Print, Email, or Close.
Troubleshooting
Error Saving Transaction Result in QuickBooks
- If an invoice or item associated directly with the invoice we are processing is in use within QuickBooks, we cannot update that item. Particularly, if an item is being modified and not yet saved In QuickBooks, QuickBooks will lock the item from being modified.
- Make sure any windows related to the Invoice are closed or saved.
- Retry
- If you click “No” when it asks to retry, you will have to reattempt the post-back from the Dashboard or manually create a Payment Record in QuickBooks.
Process Sale Button is Unclickable
- Ensure there is an invoice selected. If you update or reload the interface while an invoice is selected, the selection will reset to nothing and need selecting again.
- Ensure all required, “red” fields are filled in.
Saved Payment Methods Are Missing the CVV Number
- Tokenized (Saved) cards do not store the CVV number. In most cases, the CVV is not required when using saved payment information. Your merchant service provider can offer more information regarding your specific requirements.
Unable to Change Method Between Credit Card and eCheck
- Verosa Desktop requires a customer selection before you can select a payment type.
Unable to Email Receipt
- Your Verosa account must have the Email Payment System add-on enabled.
- The AVS information’s Email field must be filled in before processing the payment. For previously processed payments, you can send a paid copy from QuickBooks directly.
Unable to Locate Invoice
- Ensure the Invoice has an Open status and has a payable balance.
- Ensure the search filters cover the appropriate range.
- Ensure Single Customer is set to Invoices (Options found above the invoice selection table)
